Every quarter, an extra hire whose whole job was chasing electricity bills

An accounting firm, 80% of its clients freelancers, hired part-time staff each quarter to chase the receipts that never came. The receipts still arrive by email. Nobody on the team asks for them any more.

The problem

The challenge

Eight in ten of this firm's clients are freelancers, and a freelancer's paperwork arrives when it arrives. At every quarter-end the firm hired part-time staff for a job with nothing accounting about it: reconciling what had come in late, and chasing what had not come in at all. Electricity, water, phone — the invoices that repeat every month and that nobody remembers to send, precisely because they are the ones nobody has to think about. That work ran on WhatsApp messages and phone calls, and the firm was paying a salary for it.

The solution

The SunnyExtract pipeline

Each freelancer has their own address now. They set the forwarding rule once, and from then on their invoices arrive already processed — no app to open, nothing to upload. The second part is the work the part-time staff used to do. The engine knows which documents each client sends every month, and at month-end it notices the one that has not arrived: it cross-references the bank movements, finds the electricity charge with no invoice behind it, and raises the alert. Then it writes to the client itself, naming the exact document that is missing, with no one on the team involved. The clerk who used to key the entry now reads it on screen, accepts it, and exports it to the accounting software. The bookkeeping is prepared before the file is opened; the one who says it is right is still a person.

One rule, set once, by the client

Each freelancer forwards to their own address. After that, sending an invoice stops being something they do on purpose.

The bill that never arrived raises the alert

At month-end the engine looks for the electricity invoice it expects, finds a charge on the bank side with no document behind it, and says so. What was missing used to surface at the closing.

Chasing receipts is not a job here any more

The part-time staff existed to reconcile late submissions and chase the recurring bills. Both jobs now happen before anyone opens a file. What is left of the quarter-end is on screen, not on the phone.
